Terms of Service

1. Acceptance of Terms

By accessing or using the 1800 OS Deals platform ("Software"), you agree to be bound by these Terms of Service, the Privacy Policy, and the Data Processing Agreement (collectively, the "Agreement"). If you do not agree, do not use the Software.

2. Platform Overview

1800 OS Deals is a proposal generation and quoting platform built for copier dealers and office technology resellers. It allows users to manage, generate, and send proposals, store deal and customer data, apply discounts, filter machines by technical specs or use AI-enhanced prompts, and track signatures and deal status.

3. User Responsibilities

You are responsible for all content, business data, and client information you upload. You agree not to use the Software for any unlawful purposes.

4. Data Upload & Confidentiality

You may upload lease details, client information, pricing sheets, and business metadata. All uploaded data is treated as confidential and handled according to our Data Processing Agreement.

5. Electronic Signatures, Initials & Consent Tracking

• Digital signatures, typed names, checkbox confirmations, or initials provided via the platform constitute valid legal consent.
• We automatically capture and log IP addresses, timestamps, device/browser metadata, and geolocation (if available) for all signature events.
• These details form part of the deal's permanent audit trail.
• This electronic consent mechanism complies with the U.S. ESIGN Act and UETA.
• Use of the platform constitutes binding legal agreement, even without a handwritten signature.

6. Access & Authorized Users

Your license is limited to your organization. Each organization must have one authorized signer legally responsible for accepting these terms on behalf of the business. Each additional user is bound under the same terms via individual credentials.

7. Intellectual Property

All rights to the software, branding, and interface belong to 1800 Office Solutions LLC. You may not reproduce, reverse-engineer, or repurpose any part of the platform without written consent.

8. Termination

We may suspend or terminate your access for violation of this Agreement or misuse of the platform.

9. Limitation of Liability

We are not liable for indirect damages, lost revenue, or business interruptions. All use is at your own risk.

10. Third-Party Services

We use secure, compliant third-party services and subprocessors for hosting and functionality. You agree to their involvement as outlined in the Data Processing Agreement.

11. Governing Law

These Terms are governed by the laws of the State of Florida. Any disputes shall be resolved in Orlando, Florida.

12. Changes to Terms

We may update these Terms periodically. Continued use of the Software implies acceptance of the updated Terms.
